Use cases for PDF bank and credit card statements

StatementToBooks extracts transaction rows from a text-based PDF and returns CSV or Excel you can review, import, or hand to a local agent. The opening-to-closing balance check is the trust step before those rows go any further.

  • Bank statements, and statements recognised as credit cards, can run the balance check when those figures can be read. Other layouts may report cannot check.
  • CSV and Excel keep date, description, amount, direction, balance, and currency, and add signed_amount.
  • QuickBooks users should treat CSV as the reliable import; .qbo is available only for some files.

scenarios

Four places the converted file is used

These are workflows people already run with PDF statements. Nothing here is a testimonial, and the converter does not replace bookkeeping software or an accountant.

Bookkeepers handling bank and credit card statements for clients

Bookkeepers turning client PDFs into clean tables

Clients send statement PDFs. Convert each text-based file to CSV or Excel, keep the original PDF, and review the balance check before any bookkeeping work. Bulk conversion tracks success and failure per file so one bad statement does not hide the rest of the batch.

  • Process one client at a time so results never mix.
  • Choose CSV for import mapping or Excel for review notes.
  • Treat pass / mismatch / cannot check as the first quality gate.
  • Keep source PDFs and a written list of failed or missing periods.

QuickBooks users importing statement rows

CSV is the path that maps in QuickBooks without depending on a bank feed. signed_amount is negative for a debit (spending or a card charge) and positive for a credit (a deposit or a card payment), as read from the statement. A .qbo Web Connect file can be created for some single-account statements; confirm current limits on the PDF to QBO page, and preview the import for duplicates before accepting it.

  • Convert the native PDF and read the balance check first.
  • Import CSV and map columns in QuickBooks, or try QBO when that format is accepted.
  • Review the destination account and date range to avoid overlap with an existing feed.
  • Categorize and reconcile inside QuickBooks after import.

Business owners and bookkeepers sending files to an accountant

Accountant handoff without retyping the statement

Ask which format the accountant wants. Excel is useful for filters and notes; CSV is portable. Send the original PDF with the converted file, and say what the balance check reported. Conversion does not categorize the books or replace the accountant’s review.

  • Confirm the requested periods, accounts, and file format.
  • Convert native PDFs and keep a raw copy of each download.
  • Include the source PDF and note any mismatch or cannot-check result.
  • Transfer the package the way the accountant already receives files.

People running a local agent (Claude Code-style) over statement files

Clean input for a local AI bookkeeping agent

The converter is not an agent and does not post to your books. It produces a stable table — date, description, amount, direction, balance, currency, signed_amount — that a local agent can read. Use the opening-to-closing check as the trust step: pass means the printed identity held; mismatch or cannot check means inspect the PDF before any agent work.

  • Convert a text-based PDF to CSV (or Excel if a person will review first).
  • Read the balance check. Do not feed a mismatch or cannot-check file as if it were verified.
  • Point the local agent at the file and the original PDF, not at a rewritten copy.
  • Keep categorization and posting decisions in the books tool the agent writes to.

The balance check is the trust step

After a successful conversion the product reports whether the printed opening figure plus signed transactions equals the printed closing figure. Use that result before importing, handing the file to an accountant, or pointing a local agent at the CSV.

Pass

Opening + movements matched closing. Still keep the PDF; the check does not categorize or replace a books reconciliation.

Mismatch

The arithmetic did not hold. The difference is shown. For a credit card no row is named, only the difference, so you check the PDF yourself.

Cannot check

Opening or closing was not found. Common on layouts that omit those labels or print them in a way the extractor cannot bind to an amount.
